
Cancellation & Refund Policy

At Roaming Fairways, we understand that plans can change. Because we reserve specific dates and times for our mobile golf simulator, the following policy applies to all bookings.

1. Client-Initiated Cancellations
We offer flexibility for changes made well in advance of your scheduled event:

Cancellations 14+ Days Before Event: If you cancel your booking more than 14 days prior to the scheduled event date, you will receive a full refund of all payments made, including your deposit.

Cancellations Within 14 Days of Event: If you cancel within 14 days of your scheduled event, Roaming Fairways will retain the initial deposit. Any additional balance payments made beyond the deposit will be refunded to you.

2. Weather-Related Cancellations
The safety of our guests and the protection of our equipment are our top priorities.

Provider-Initiated Cancellations: If Roaming Fairways determines that weather conditions (e.g., heavy rain, high winds, or extreme temperatures) make it unsafe to operate the simulator at your location, we will notify you as soon as possible.

Full Refund: In the event that we must cancel due to weather or technical issues on our end, you will receive a 100% refund of all payments, including your deposit.

Rescheduling: Alternatively, we will offer the option to apply your full payment toward a rescheduled date, subject to availability.

3. Site-Related Issues
Please note that if we arrive at the event and are unable to set up because the site does not meet the requirements (e.g., insufficient ceiling height, lack of power, or unsafe surface) as outlined in our Site Readiness Checklist, this will be treated as a late cancellation and the deposit will not be refunded.
